Working together
Do we need to be in the same city?
No. Harbor Books is remote-first and serves clients across the US. Meetings happen over video, documents move through a secure portal, and your books live in the cloud where we both can see them. Distance has never once been the problem.
Who will actually be doing my books?
The same small team every month: the person who closes your books is the person who answers your email. No call centers, no rotating cast, no being handed off after the sales call.
How fast do you respond?
Within one business day, by a human, year-round. During tax season we staff up on communication first, because that's exactly when silence feels worst.
How do I switch from my current bookkeeper or preparer?
Gently and without drama. You give us access to your existing books and last year's return; we review everything, flag anything that needs attention, and take over from the next month. You never have to have an awkward conversation, though your old provider releasing your files is normal and routine.
Money & scope
Are the prices on the website really the prices?
Yes. If your situation needs custom work, you'll get a flat written quote before anything starts. The one thing we never do is start the meter running.
Is there a contract or setup fee?
No setup fees; bookkeeping plans are month-to-month. If you leave, your books, data, and software logins stay yours, and we'll hand everything over tidily.
What about audits and reviewed financial statements?
We don't perform audits or reviews ourselves. Independence rules exist for a reason: the accountant who closes your books shouldn't be the one attesting to them. When you need audited or reviewed statements (for a lender, investor, or regulator), we bring in a licensed CPA firm from our network, hand them clean, audit-ready books, and manage the process end to end. You get one point of contact; the auditors get books they don't have to fight with. Audits go faster and cost less when the books arrive tidy.
Do you do payroll?
We coordinate it rather than run it ourselves: Gusto or ADP processes payroll, we set it up, keep it synced with your books, and make sure filings happen. You get specialist payroll infrastructure and one team watching over it.
The nervous questions
My books are a disaster. Truly. Are you judging me?
Not even slightly. "Two years behind and mildly panicking" is roughly the median new client, and our catch-up service exists precisely for this. Bank statements are enough to rebuild from. You don't need to tidy up before calling, any more than you'd flee a dentist for having a toothache.
How do you keep my data safe?
Bank connections are read-only: we can see transactions, never move money. Documents travel through an encrypted client portal, not email. Access is limited to the people working on your account, protected by strong authentication.
What if I get an IRS notice?
Forward it to us before you panic. Most notices are routine, and if it concerns a return we prepared, we draft the response at no charge. If it's from before your time with us, we'll help you understand it and figure out next steps.
What happens at tax time if you already do my books?
Mostly nothing, and that's the point. Your return is prepared from books we've kept clean all year, usually without asking you for a single document, and bookkeeping clients get 20% off return preparation.
